Email Templates

Every automatic email your event sends starts from a template, the confirmation, the payment link, the cancellation note, and others. A template is just the wording Sunfish uses when it sends that message. You can edit any of them to match your voice.

Customizing an email

Open the template you want to change and edit the text like any other message. Update the greeting, add a line about what to bring, include a link to directions, whatever your guests need to know.

Your changes apply to future sends of that email, so the next person to register gets your updated version.

Using variables

You want each email to feel personal, but you're not writing them one at a time. Variables solve this. A variable is a placeholder wrapped in single curly braces that Sunfish fills in for each recipient when the email goes out.

For example:

  • {FIRST_NAME} becomes the recipient's first name.
  • {EVENT_NAME} becomes your event's name.

So a line like:

Hi {FIRST_NAME}, thanks for registering for {EVENT_NAME}!

arrives as:

Hi Jordan, thanks for registering for Summer Gala!

Type the variable exactly as shown, braces included, wherever you want that detail to appear. You'll see the available variables while you edit.

tip

Keep the braces intact. If a variable looks broken or split up, Sunfish can't fill it in and your guests will see the raw text instead of their name.

Sending a test email

Before you rely on a template, send yourself a test. Sunfish delivers a copy to your inbox with the variables filled in, so you can see exactly what your guests will get, wording, links, and all.

Read the test on your phone and on a computer if you can, since guests will open it on all sorts of devices.
